Job Title: Facilities Manager

The Facilities Manager provides organizational support in the area of facility repair, safety, cleanliness and maintenance. The position schedules, oversees, and ensures contract service providers are meeting the objectives outlined in the contracts; this includes managing the day-to-day relationship with vendors. The position supports budget management through value spending, invoice processing and analysis of spending. The position is responsible for emergency preparedness procedures and response, including Injury and Illness Protection and Business Continuity planning. The position will identify long-term maintenance needs and priorities at the main campus and two offsite facilities and assist with major construction initiatives as necessary.



· Receive, respond to, and resolve facility maintenance requests using online ticketing system (FMX) for all three sites

· Purchase, store, and maintain inventory of facility and custodial supplies, equipment and furniture

· Manage, maintain, and allocate facility-wide storage areas

· Assist with annual Facilities & Operations budget development and management

· Serve as primary day-to-day liaison to contract service providers and maintenance vendors to ensure contracts are being fulfilled in a timely and satisfactory manner

· Supervise and manage the workload of the Facilities and Events Techs

· Manage the Events Production meeting and event facilities request needs

· Work with Security Manager, onsite engineers and IT staff to manage security and alarm systems maintenance and upgrades

· Research, identify, and engage vendors for a variety of roles

· Provide and document ergonomic assessments and resolutions

· Oversee vehicle suite maintenance and registration

· Oversee required annual and project-related permitting

· Lead the IIPP Team, Health and Safety Committee, and OSHA Committee

· Serve as Facilities and Operations team liaison on the Green Team to develop and implement environmentally sustainable practices throughout the facility

· Oversee waste management, recycling, composting programs as well as safe removal of universal waste, hazardous waste, and ewaste.

· Research products and materials for appropriateness, economy of scale and pricing

· Coordinate and oversee implementation of and compliance with OSHA requirements throughout the organization

· Coordinate emergency preparedness efforts

· Other duties as assigned



· Ability to deliver results, facilitate and influence others and problem solve beyond temporary solutions

· 5-7 years of facility management experience, preferably in a museum

· Supervisory experience preferred

· English language proficiency in both spoken and written form

· Facility maintenance and property/project management

· Knowledge of life safety protocols, building and fire codes for an Oakland business

· Working knowledge of physical plant systems

· Inventory management

· Basic budgeting, accounting practices, records management, and legal record retention

· OSHA requirements (IIPP, BCP)

· Earthquake damage mitigation

· Google Suite

· Customer service, delegation, and de-escalation techniques

· Teamwork and conflict resolution skills

· First aid/CPR training preferred
